Coordinators Shouldn't Be Full-Time Calendar Detectives

A caregiver gets matched with volunteers. Before anyone shows up at a family's home, there's a Meet & Greet, a first hello, so trust starts before anyone walks through the door.

The old way was a coordinator checking everyone's availability by hand, generating a video call link, emailing it around, and hoping nobody double booked.

The new way: the coordinator approves the match, and the system does the rest.

1 Generates a video call link automatically
2 Creates the calendar event for the caregiver and volunteers
3 Sends a confirmation email with the date, time, and link, no manual copy pasting

What used to be a back and forth of "does 3pm work for you?" emails now happens the second a match is approved.

It's a small moment in the bigger journey, but it's the first human touchpoint in this whole relationship, and it deserves to feel smooth, not chaotic.
